The Graduate School will begin accepting a limited number of electronic theses and dissertations (ETDs) beginning in the summer session of 1998, according to Dean Russell G. Hamilton.

This marks the beginning of the Graduate School's participation in a pilot project with 20 other research universities--including the University of Virginia, Virginia Tech and the University of Wisconsin--to develop software and address issues related to accepting theses and dissertations submitted electronically.

The Graduate School has asked five departments within the University to participate in an initial period of testing and implementation: French, English, electrical and computer engineering, physics and biochemistry.

The five departments will work with Associate Dean Peter W. Reed and Graduate School Registrar Millie McRee in implementing and refining the many nuances of the new project.

"We are very excited about the many possibilities that ETDs offer," Reed said. "They make it possible to include new, nontraditional materials and presentations within the thesis or dissertation, and there are also significant benefits in electronic submission, storage and security."

During the pilot phase, graduate students in the five departments will not be required to submit their theses and dissertations electronically, though they will be encouraged to participate in the pilot project.

Here's how the electronic submission will work: At the point that a Vanderbilt graduate student would traditionally print the thesis or dissertation following departmental approval, he or she will now simply convert it to a portable document format (PDF) or a standard general markup language file (SGML) and upload it on the University library server.

Most students already prepare their theses and dissertations on a word-processing program that can be easily converted to PDF format using Adobe Distiller, an application that can be downloaded free from Adobe's web site.

Instead of scheduling an appointment with the Graduate School to have the manuscript format checked, the student will notify the Graduate School via e-mail that the thesis or dissertation is on the library server and ready for checking. The Graduate School will then review the file to check for errors in formatting.

"This will be a new process for all of us, but we are eagerly looking forward to working with the students to not only successfully submit their manuscripts, but also to take advantage of the new resources," said McRee.

Once the Graduate School approves an electronic thesis or dissertation, the University library will catalog it and formally place it on the electronic thesis and dissertation server, where it will be available to the public online and where it will look, in most cases, like a standard word-processing document. The library also will submit the thesis or dissertation to University Microfilms Inc. (UMI), where it will be available through UMI's web site.

A student may, however, choose to either delay access to the thesis or dissertation or restrict it completely or make it available only to a certain group of readers by using passwords, encryption or other methods. This is important when there are issues of security regarding proprietary information or pending patents.

The Graduate School's move toward electronic dissertations is part of a growing national dialogue about the many issues associated with the submission, storage and distribution of paper theses and dissertations.
Critics of electronic dissertations argue that their wide availability could negatively impact the tenure process, promotion or perhaps even grants, all of which require publication in scholarly journals. Most publishers will not accept manuscripts that are already available on the Internet. However, many university presses do not regard UMI- or ETD-submission as prior publication.

Advocates of electronic theses and dissertations argue that they allow forms of communication unavailable on paper--digital quick-time movies, sophisticated graphics, computer-generated images, computer modeling and digital sound. Such additions can significantly enhance a manuscript, and multimedia resources can add elements to certain fields like music, dance and architecture that revolutionize the way material is presented.

Speed is another positive aspect that advocates tout. "I think the scientists are much more accepting of this idea because they need to get their new findings and new scholarship out quicker than the humanists," said Paul Gherman, the Vanderbilt librarian. "The sciences move so quickly that if you took a year or two to publish your research, someone would have bypassed you or taken your ideas."

Gherman is a strong proponent of electronic theses and dissertations. Earlier in his career he served as the librarian at Virginia Tech, which this year began requiring graduate students to place their theses and dissertations on a server accessible from the Internet, where scholars and the public around the world can study them for free.

"With Paul Gherman's expert advice, we look forward to implementing the pilot project and hope to make this innovative technique available to all our graduate students in the near future," said Reed.

"I think the real question regarding electronic theses and dissertations is, "Why not?'" Gherman said. "Since most graduate students use a computer to write their dissertations, why print them, and since the University has invested millions in a telecommunications infrastructure, why not use it?"
